Professional Recordkeeping
Multistate Licensure and NCEES Records
Professionals holding licenses in multiple jurisdictions should
evaluate each course under the requirements of every applicable board
and maintain records showing how the credit was reported.
Multistate Compliance
Evaluate Every License Separately
Holding licenses in several jurisdictions does not create one
uniform continuing-education requirement. Each licensing
authority may establish its own renewal cycle, required hours,
subject classifications, delivery restrictions, exemptions,
carryover provisions, and record-retention period.
A course accepted by one board may be treated differently by
another. The same educational activity should therefore be
evaluated independently under each jurisdiction’s current rules.
Licensees should maintain a separate compliance record for each
credential while preserving a central set of certificates and
supporting course documents.
Jurisdictional Differences
Requirements May Vary Substantially
Compare the rules for each license instead of assuming that one
state’s requirements apply to all credentials.
Renewal Period
Licenses may renew annually, biennially, or according to another
schedule established by the licensing authority.
Required Hours
The total professional-development requirement may differ among
jurisdictions and license types.
Subject Requirements
Some boards require designated hours in ethics, laws and rules,
standards, HSW, or another specific subject.
Delivery Limitations
A jurisdiction may limit self-study, online, webinar, or
noninteractive continuing-education hours.
Carryover Rules
Unused hours may be carried into a later renewal period only when
the applicable board permits it.
Reporting and Audits
Some boards require reporting at renewal, while others require
records only when the licensee is selected for audit.
Compliance Method
Build a License-by-License Record
List Every Active License
Record the jurisdiction, license number, expiration date, and
renewal cycle for each professional credential.
Record Each Requirement
Identify the total hours, mandatory subjects, delivery limitations,
carryover rules, and retention period.
Assign Completed Courses
Record which completed courses are being applied to each license
and how the credit is classified.
Verify Before Renewal
Confirm that every jurisdiction’s requirements have been satisfied
before submitting renewal representations.
Central Documentation
Maintain One Complete Course Record
Keep one complete documentation package for each course, then
separately record the licenses and renewal periods to which the
course was applied.
This approach reduces duplicate files while preserving the
jurisdiction-specific information needed during renewal or audit.
NCEES Record
Using an NCEES Record
An NCEES Record may assist licensed professionals with maintaining
and transmitting information commonly requested during
comity-based licensure applications. The available functions and
submission requirements are controlled by NCEES and the receiving
licensing authority.
An NCEES Record does not replace the licensee’s responsibility to
satisfy each board’s continuing-education requirements or retain
the documentation required for renewal and audit.
Confirm current NCEES procedures directly with NCEES and confirm
whether the receiving board accepts the relevant Record services.
Applying one completed course to more than one active license is not the
same as claiming the same course twice toward one jurisdiction’s
requirement. Each board’s rules determine whether and how the course
may be reported.
Recommended Tracking
Information to Record for Every License
A
License Information
Jurisdiction, profession, license number, renewal date, and current
reporting period.
B
Requirement Summary
Required hours, mandatory subjects, delivery limitations, carryover,
exemptions, and retention period.
C
Course Allocation
Completed course, hours claimed, credit classification, reporting
date, and supporting certificate.
SurveyorCE does not monitor individual renewal deadlines, allocate
courses among licenses, report hours to licensing boards, or determine
whether a particular course satisfies every jurisdiction’s rules.
These responsibilities remain with the licensee.
Organize Your Records
Maintain Complete Documentation for Every License
Review state requirements, preserve course certificates, and track
how each completed course is applied.
