Completion Documentation

Certificates and Recordkeeping

Download and retain certificates and supporting course information
needed to document professional continuing-education activity.

Licensee Responsibility

Maintain Your Own Completion Records

The individual licensee is responsible for maintaining
documentation supporting continuing-education credit claimed
during license renewal.

SurveyorCE provides course and completion records through the
student account, but online availability should not be treated as
a permanent substitute for personal recordkeeping.

Download certificates promptly after completing each course and
preserve them with the related course information for the period
required by the applicable licensing authority.

Certificate Information

What a Completion Certificate Documents

Student Identity

The certificate identifies the student account associated with the
completed course.

Course Title

The course title identifies the professional-development activity
that was completed.

Completion Date

The date establishes the renewal period in which the educational
activity was completed.

Credit Hours

The stated hours identify the professional-development credit
associated with successful completion.

Provider Information

Provider information identifies SurveyorCE and Cadistics LLC as
applicable to the course record.

Completion Evidence

The certificate documents that the required course activities and
assessment were successfully completed.

Certificate Process

Download and Preserve the Certificate

01

Complete the Course

Finish all required lessons, activities, and assessments and
confirm that the course is recorded as complete.

02

Open the Certificate

Access the certificate through the completed course or the
appropriate section of the student dashboard.

03

Verify the Information

Confirm that the student name, course title, completion date,
credit hours, and provider information are correct.

04

Download and Store the File

Save the certificate in a permanent, backed-up location and retain
it with supporting course documentation.

Supporting Documentation

Retain More Than the Certificate

A certificate is the principal record of completion, but a
licensing authority may request additional information during an
audit.

Preserve enough information to demonstrate the course subject,
educational purpose, duration, provider, format, assessment, and
professional relevance.

Record Storage

Use Durable and Organized Storage

A

Organize by Renewal Period

Store certificates according to the license and renewal period in
which the credit was claimed.

B

Maintain a Backup

Keep copies in more than one secure location, such as local storage
and a reliable cloud backup.

C

Use Consistent Filenames

Include the completion date, course title or code, and license or
jurisdiction in the stored filename.

Record-retention requirements differ among licensing jurisdictions.
When maintaining multiple licenses, preserve completion documentation
for the longest applicable retention period unless a controlling rule
requires another approach.

Record-Retention Reminder

Multiple Licenses

Track Where Each Course Was Reported

Professionals holding licenses in multiple jurisdictions should
record which licenses received each course and how the credit was
classified.

The same certificate may support more than one license when the
course satisfies each jurisdiction’s requirements. Maintain a
record that distinguishes multiple-license reporting from an
impermissible duplicate-credit claim.

Download all certificates before your SurveyorCE membership expires.
Online access to courses, account functions, and certificate files may
not remain available after the active access period ends.

Certificate Assistance

Missing or Incorrect Information

If a certificate is unavailable or contains incorrect information,
first verify the name and account information associated with your
student profile. Confirm that all course activities have been
completed and that the course status shows successful completion.

If assistance is still required, contact SurveyorCE and provide the
course title, completion date, account email, and a description of
the problem. Do not send passwords or payment-card information.
